Design a lead pipeline your team will actually use

Why fewer, clearer stages beat a long list — and how to shape CRM Dost’s statuses around the way you sell.

A pipeline is only useful if everyone moves leads through it the same way. When there are too many stages, or two that mean nearly the same thing, reps pick whichever feels closest and the reports stop meaning anything.

Start from sensible defaults

CRM Dost gives each company a starting set of statuses based on its industry. A real-estate team starts with Fresh, Interested, Not Interested, Scheduled Visit, Completed Visit, Closed Won and Closed Lost. Other businesses start with Open, Busy, Wrong No, Rejected, Converted and Closed.

Then make them yours

  • Add statuses for steps that are specific to your sales process.
  • Rename a status and every lead already in it moves with the new name.
  • Give each status a colour so the board reads at a glance.
  • Turn a status off when you stop using it. To delete one you added, choose where its leads should go instead.

Three rules for a pipeline that stays clean

  1. Every status should mean one clear next action. If you cannot say what a rep does next, merge it with another.
  2. Keep “won” and “lost” as separate statuses, and write down why a deal was lost in the lead’s remarks while it is fresh.
  3. Review statuses every quarter, and switch off the ones nobody used.

The board view shows leads as cards you can drag between columns, grouped by status or by the person they are assigned to. Managers can switch between their own leads, their team’s, or one person’s with a single picker.

Every change is kept in the lead’s history, which cannot be edited, so when a deal is questioned later you can see exactly what happened and when.

When a rep without assignment rights marks a lead Not Interested, CRM Dost hands it back to their manager — a second opinion before a lead is written off.
